We all know the ones — the conversations we might dread a little. Maybe it’s delivering tricky feedback or addressing a misalignment in expectations. While these chats can feel uncomfortable, they’re also a chance to build trust, be transparent, and make sure everyone is aligned.

  1. Set the stage

  • Discuss with your team how to handle challenging conversations together.
  • Acknowledge upfront that difficult talks are part of working together and create a safe space.
  1. Focus on the outcome:

  • Share at the start what you want to achieve and why it matters.
  • Don’t get caught up in how to have the discussion and forget the goal.
  1. Be specific and direct:

  • Avoid vague feedback; keep it clear and direct.
  •  Ensure your team understands exactly what’s being discussed and why it matters.
  1. Stay neutral in language and tone:

  • Avoid emotionally charged words or assumptions.
  • Keep your language neutral.
  • Take a moment beforehand to check in with your own feelings — staying calm helps keep the conversation constructive.
  1. Acknowledge the difficulty:

  • Admit that the conversation feels tricky — it shows authenticity and care.
  • Example: “This is a bit tricky for me because I want to get it right.”
  1. Make it a dialogue, not a lecture:

  • Invite the team member to share their perspective and ideas.
  • Ensure the conversation is with them, not to them.
  1. Agree on next steps:

  • Define actionable steps for both parties.
  • Tie the actions back to the desired outcome to ensure progress.
